Questions

Who files Form 941?

Most employers that pay wages. It reports the federal income tax withheld from employees' pay and both halves of social security and Medicare tax, once a quarter. Employers the IRS has told to file Form 944 file once a year instead.

When is Form 941 due?

By the last day of the month after the quarter ends: April 30, July 31, October 31 and January 31, moved to the next business day when that is a weekend or holiday. So the third quarter of 2026 is due November 2, 2026 and the fourth quarter February 1, 2027. If you deposited all the tax on time, you have 10 more days.

Does this tool work out the taxes?

Yes. From the wages you enter, it multiplies line 5a and 5b by 12.4%, line 5c by 2.9% and line 5d by 0.9%, then adds lines 6, 10 and 12 and works out the balance due or overpayment. The numbers come from your payroll records; check them before you sign.

Do I have to pay with the return?

Usually you deposit the tax during the quarter, for example through EFTPS. If your total tax for this quarter or the one before was under $2,500, you can pay it with the return instead. When you can pay with the return, we fill the 941-V payment voucher too. Semiweekly depositors deposit through EFTPS instead.

Is what I type here saved?

No. The form is filled in your browser and nothing you type is sent to us or saved.

Before your first quarter

You need an employer identification number before you run payroll, and each employee fills out a W-4 so you know what to withhold. Contractors get a 1099-NEC instead.
