What actually causes delays (ranked by how often we see them)

  1. Error 101 name conflicts. The number one delay in the applications we file. The same session online route dies instantly on a name match and becomes a fax or phone case. People lose the most time by retrying online repeatedly, which cannot ever succeed. Details are in the error 101 guide below.
  2. Responsible party mismatches (references 102 and 103). The SSN or ITIN and the legal name must match IRS records exactly. Maiden names, missing middle names, and nicknames all fail validation.
  3. Submitting outside processing windows. The online tool is closed nights, weekends, and federal holidays, and fax queues do not move on weekends either. A Friday 6 p.m. application effectively starts Monday morning.
  4. No return fax number on a faxed SS-4. The silent killer: it converts a 4 day turnaround into multi week mail with no notice.
  5. Incomplete or unsigned forms. Bounced paperwork restarts the whole clock, and the rejection notice itself travels at mail speed.
  6. The one per day rule (reference 114). One EIN per responsible party per day. Relevant if you are setting up multiple entities in one sitting.

The truth about “expedited” EINs

There is no premium queue at the IRS. Nobody, not a service, not an attorney, not a rush processing upsell, can make the IRS assign an EIN faster than the channel allows. What legitimate services actually sell is error prevention and follow through: a correctly prepared application that does not bounce, filed through the right channel for your situation, with someone watching for rejections and fixing them the day they appear instead of the day you notice. That is where real calendar time is won. A bounced or 101 blocked application handled slowly costs more days than any expedite fee ever claimed to save.

When is the EIN actually usable?

  • Immediately for the things founders are waiting on: bank accounts, Stripe and payment onboarding, licenses, and payroll setup. Banks accept the confirmation letter PDF the same day it is issued.
  • Up to about 2 weeks for IRS electronic filing systems to recognize a brand new EIN. This only matters if you try to file a return electronically in the first days.
  • The mailed paper confirmation arrives in 4 to 10 weeks. Nothing waits on it; it is a keepsake for the file.

If the responsible party has an SSN or ITIN, it is a weekday between 7 a.m. and 10 p.m. ET, and your name has no conflict, then yes, the IRS online route is same day. Miss any of those three conditions and same day is off the table through every channel. The question then becomes who gets it done in the fewest days without errors.

Why is my bank asking for a letter and not just the number?

Compliance teams verify the EIN against an IRS document: the CP 575 (or the faxed assignment notice), or a 147C replacement letter. Keep whichever you received. You will hand it over more than once in the company’s first year.
